The ecom-specific mess

What every generic bookkeeper misses on a Shopify store.

If you sell online, your books have these six failure modes. We know because we fix them every month.

  • Settlements never tie

Shopify payouts lag 2–5 days and bury fees in the gross. Your bank deposit never matches your sales.

  • Every processor books differently

Stripe, PayPal, Amazon Pay, Klarna, Shop Pay — most bookkeepers lump them into one revenue line.

  • Refunds rot in suspense

Chargebacks sit uncoded for weeks. Your AR shows phantom revenue you'll never collect.

  • COGS is a year-end guess

Inventory never reconciled against the platform. Margins are fiction until April.

  • Marketplace tax is mis-booked

Amazon, Etsy, eBay facilitator tax treated as regular revenue. Accrual wrong, filing wrong.

  • Channel profitability is blank

You can't answer "which SKU" or "which channel" is profitable because the data isn't there.

The shift

Settlement chaos → weekly clean close.

The real questions

What people actually ask before they sign.

Yes. And Stripe, Amazon Pay, PayPal, Klarna, Afterpay, Shop Pay Installments, plus marketplace facilitator tax mechanics for every US state with nexus. We reconcile to the settlement net, not the gross sales number — which is why your bank actually matches your books at month-end.
We work with whatever inventory system you're on — Shopify, ShipBob, ShipMonk, Cogsy, Settle. COGS is booked accurately each month against the platform's actual fulfillment data, not estimated at year-end. If you don't have an inventory system yet, we'll recommend one before onboarding.
We handle the sales tax accrual, nexus tracking, and monthly reconciliation. The actual filing goes through your sales-tax software of choice — Avalara, TaxJar, or Anrok are the common ones. We make sure the numbers feeding into it are correct every month, so filing day is mechanical, not a scramble.
Federal and state income tax returns are included via our integrated tax partner. They file directly from the books we keep — no separate CPA chain, no surprise cleanup fees in April.
Two to three weeks for a clean takeover. Four to six weeks if there's 12 months of cleanup we need to do first (more common than you'd think). We'll be honest about the scope after the discovery call. You stay on your current platform (QBO or Xero) — no forced migration.
